Week Twelve: Workshop 2

Post a summary of your audit findings. Include a description of the problem or area you chose to audit, your audit methodology and what conclusion(s) your audit generated. You do not need to include a flowchart or graphc organizers, but you may wish to include one or two sample interview or survey questions.

How is the new reorganization working with the new method of doing business or the implementation of Taylor’s Theory of organizational communication?

Preliminary my research implicated exploring Fredrick Taylor’s theory that dealt with machine-like functions. In my opinion, most offices need the controlled setting in order to function efficiently. Even though Taylor’s theory lacked the humanistic viewpoint, I believe that it does have a place within the capital Projects, a division of Building Systems department.
There should be a systematic way of conducting business activities, while also integrate the human relations aspect, as demonstrated in my company.
On a daily basic, my unit or Building Systems Program, schedules meetings to discuss some of the issues that are challenging and to make announcements or new plans. This all benefits the entity when accepted as intended by the sender.
Confidently, I am able to be part of the discussion of communication after taking this class. Appropriately according to my findings during this audit, I can now point out the pros and cons of our new system as opposed to the old system of conducting business

My audit consists of the lack of communication that is happening on my job on a daily basis. Hopefully I will gain some knowldge from doing my paper.

There is very little organzation on my job everthing is aways done at the last possible minute.

I would like to gain some control over my own desk work after doing this paper. I hope that I will find some theroies if not just one that will put my job under so sort of perspective.

I am going to use Taylor's Theory because I feel that Taylor's Theory has alot to do with my office. The firm I am in I believe that it needs some communication skills. We need to communicate more than anything else.

My audit will consist of the many forms of miscommunication that is going on at my job.

It will also show how the chain of command stops at one level never reaching the proper person that can handle the situations that are going one. It will also show how each unit is an island of its own and how they come together with out the superviors help.

I will audit the coordinator for the crossing guards, because as a crossing guard, I have been treated unfairly by the coordinator; many other crossing guards have complained about how he has treated them unfairly too.

After reading the New York Police Department guidelines for Command Discipline, Command Discipline Appeal, and Grievance and Arbitration Procedures I decided to survey the Coordinator of the School Crossing Guards. I wanted his feedback on how he handles the discipline of crossing guards.
1.How are complaints against crossing guards communicated to you?
In most cases, they are made by telephone, but sometimes a concerned citizen will come into the precinct to make a complaint.
2.How do you handle complaints against crossing guards?
Complaints are written down and placed in personnel file, and the sergeant and I make a decision on how to handle the complaint.
3.What happens to complaints against crossing guards? The complaint is investigated by the sergeant and me to determine if the complaint is true.
4.What happens if the complaint against a crossing guard is true? If the complaint is not serious, the crossing guard is given a warning about the rules of the Department, and if she continues to violate rules a Command Discipline will be issued.
5.What happens if a complaint against a crossing guard is not true?
The crossing guard is told about the complaint and advised to be careful while on duty.
6.What happens if a crossing guard is issued a Command Discipline?
If the misconduct is not serious, it is placed in the personnel file and destroyed after one year if crossing guard conduct has improved.
7.How do you inform a crossing guard about a complaint against them?
In some cases, I usually use the telephone because it is more convenient for both of our schedules, and if necessary, I will inform a crossing guard in person.
8.Do you let personal feelings influence how you discipline crossing guards?
I have to follow the same rules and regulations governed by the Department, and I apply the rules when handling discipline.
Reflection on Audit
In my audit, I explained the chain of command process of the New York Police Department and how the complaint process works. On paper it works, but in reality it is impossible for it to work when you have a Coordinator that does not listen to what you have to say. I feel that he expect people to be mechanical machines that do what they are told to do, but in today’s society, I feel the chain of command is outdated. In order for the chain of command process to work, the Coordinator must learn to listen to the crossing guards, because it could help the system to be more efficient.
